Scope
This policy applies to enquiries, commissions and transactions with the company, and to Melisma. Requests received at either email address are normally accepted by the company and handled under this policy. It does not cover all separate business activities of the representative as an individual.
Information and purposes of use
We handle contact details, enquiry and commission details, materials you provide, transaction and accounting information, and Melisma registration information and usage history. We use these only as necessary to respond to requests, provide services and support, and process transactions and accounts.
Scores and audio in Melisma
Uploaded scores and generated audio are stored on the server and each is deleted one week after it is stored. They are used solely for synthesis and support, not for additional model training or other purposes. This one-week retention period does not apply to account information or usage history.
Storage and retention
We use Gmail for email, PCs and Google Drive for commission materials, and MF Accounting for accounting information. Commission materials are currently retained on an ongoing basis, without a uniform deletion deadline. You can contact us below about deletion. Information that must be retained, including for legal obligations, is kept to the extent necessary.
External services and third-party disclosure
We also use OpenAI’s ChatGPT to summarise email. We use Google services for email and document storage, MF Accounting for accounting, and AWS for Melisma authentication and data storage, among other functions. Processing and storage by these services are distinguished from sharing information with other people. When outsourcing work, we limit it to what is necessary and appropriately supervise the provider. We do not provide personal data to third parties without the individual’s consent, except as permitted by law.
Advertising and external AI services
We do not use customer information for advertising. To review and organise email, we use OpenAI’s ChatGPT to summarise messages and attachments received in both the company’s and the representative’s personal Gmail accounts. Email and attachment content needed for these summaries is processed by ChatGPT. Scores and generated audio in Melisma are used solely for synthesis and support, not for additional model training or other purposes.
Security
The representative is the only person within the company who accesses and handles this information; it is not shared with other staff. We use two-step authentication for the services we use and PIN access protection on PCs storing materials.
Requests and complaints
Please use the company email below for requests or complaints about notification of purposes, access to personal data, correction, suspension of use, deletion or cessation of third-party disclosure. We verify identity where necessary and respond in accordance with applicable law. If we cannot fulfil a request, for example because of a legal retention obligation, we explain the reason.
